In this section, we will be going over how to access and configure email templates for reminders.
Create/ Edit an Email Template
Accessing Email Builder:
You can use the Email builder to customize the Email reminders that are being sent out to patients.
To get to the Email builder, you will need to get to the automation. Here's how you access the Automations:
- Log in to your Phelix account with the email and password that you used to set up your account by accessing https://app.blockhealth.co/
- On the top left corner, switch the Workflow toggle to the Control Panel > Outreach Agent > Automations

Once you've gotten to the Automation, you will find the SMS builder under Action -> Add Action -> Email Template
- Clicking on edit will lead you to a different interface.

Create/Edit an email template:
- You can customize email messages that are sent out to patients. To create/edit an email template, in the EMAIL TEMPLATE section click ‘Edit’ to open Email Builder.
Email Template Setup:
- On top, click on ‘Select Email Template’, then ‘Create new template’ on top (or select one of the existing ones)
- Add (or edit) email Template Name (1) and email Subject (2)
- If you would like a status in the EMR to change once an email has been sent, you can configure the ‘Intermediate Status’ (3) and ‘EMR Status’ (4) fields.
- ‘Intermediate Status’ is the status name, for example ‘Email Sent’
- ‘EMR Status’ is the status code that your EMR appointment status will change to, once an email has been sent. For example ‘ES’. Note: Status code must correspond to one of your existing status codes in the the EMR.
- To add/edit the content of the email template use the email Template Editor section (5). Use Content elements (6), Rows (7), and Settings (8) to create and customize your email.

- Email content is created in blocks, out of Content elements.
- You can find them in this tab: title, paragraph, list, image, buttons, divider, social media icons and some special icons.
To add content, just drag and drop the element into the editor (5)
- Now you can configure the element, such as colour font, size, colour, alignment, etc., depending on the element that has been added.
- You can copy/paste, or delete the element, by clicking on one of the following icons:

- This tab is to configure common row settings, such as background colour, borders, padding etc.
- This tab is to configure common row settings, such as background colour, borders, padding etc.
- Settings (8)
- This tab is to configure common email templates settings, such as content area width, alignment, background colour, default font, etc.
- To save and publish an email template, click the ‘Publish’ button (9).
- Pro tip: Once you have created the first email template, to create another one, you simply copy/paste the first one, and edit the pasted one. This will save you a lot of time and will make your templates consistent. To copy/paste email template, use button (10).
- To return to the Checkpoint Builder, use the left arrow in the upper left corner (11)
Add Data element, Response element and Form Link
- To Title, Paragraph and List elements we can automatically add patient-specific fields such as First Name, Physician Name, Appointment Date, Appointment Time, etc.
- To add Data element, click on ‘Merge tags’ (1), and then select one of the elements
- To Title, Paragraph and List elements we can automatically add response elements (2), so once a patient confirms/cancels the appointment, that will confirm/cancel the appointment in the EMR.
- For confirmations, use Response 1.
- For cancellations, use Response 2.
Note: The response element can be also added to the Button element. For example, if you want to make a button ‘Confirm’, use ‘Special Links’ and select a ‘Response 1’
- IMPORTANT: Once the response element has been added, for statuses to automatically update in the EMR, on the bottom of the email builder choose the action from a dropdown 'UPDATE APPOINTMENT STATUS' (1), set the relevant status code in the 'EMR STATUS UPDATE' field (2). For example, if you want the response element to confirm the appointment, select ‘Confirmed Appointment’ and status code that is in your EMR for Confirmed, for example ‘T’.
- Pro Tip: You can configure how far before the appointment a patient is allowed to update (confirm/cancel) the appointment. You can simply toggle ‘Confirmation and Cancellation Time Limit’ (3), and select a number (4) of minutes/hours/days (5).
To Title, Paragraph and List elements we can automatically add links for forms that were created on Phelix. For example, if you have a COVID-19 Screener via Phelix, simply highlight the word that you want to link, select the relevant form under ‘Special Links’, and then ‘Form’.

Note: You can also add a Form Link to the Button element.
