Admin Settings

User Profile:

• Home > Manage menu (click slider beside ‘Workflow’) > Admin Settings
• Use this section to change your user details

Clinic Settings:

• Use this section to change your clinic details

 

Booking / Confirmation Settings (WILL BE DEPRECATED SOON)

• • Ensure toggles for all Confirmations (Reminder, Confirmation I, Confirmation II) are OFF at all times (toggle should be grey and not blue)
  • Ensure no appointment status codes are inputted in the 'Valid Status Codes' field
  • Ensure checkboxes are OFF for SMS, Phone, Email

Integration Settings (OSCAR):

• Click 'Add Integration' for OSCAR (Kai Innovations)

• Ensure all toggles and reminders are turned OFF in 'Booking / Confirmation Settings' section
• Contact your OSCAR support representative to get and enter: 
  1. REST API details (click 'Save')
  2. SOAP API details (click 'Save')
  3. Sync appointments by inputting today's date + time within 'End Date' field and the date 3-6 months prior to the End Date in the 'Start Date' field (click 'Sync Appointments')
• After each step you should receive a 'Success' Message
  • Please contact [e-mail] if you receive an error message

Manage Users:

• Use this section to add and edit Users
  
  • Ensure each user has a unique e-mail / username not associated with any other accounts

Schedule Settings

Manage Physicians:

• Once you add physician, you will be unable to remove it from the interface
  • Please contact [e-mail] if you need to remove physicians 
• Only First Name, Last Name, Provider ID, Location, Type, and E-mail are required fields
  • Fax Number, Office Phone Number and Instructions are currently UNDER DEVELOPMENT

Manage Rooms / Patient Wayfinding:

• Use this section to add and edit Rooms
• Click '+ Rooms' button to add a new room
  • Use 'Region Selection' to select from Locations entered during the 'Clinic Settings' step
  • Use 'Room #' to denote what Room # should be in Phelix interface
  • Use 'Room Name' to denote what Room Name should be in Phelix interface
  • Use 'EMR Room ID' to input the appointment status code that matches the intended room in the EMR for which you want to set up wayfinding SMS
  • Use 'Wayfinding Instructions' to input text that patient will receive via SMS when appointment in EMR is changed to the matching 'EMR Room ID'

Manage Schedule (UNDER DEVELOPMENT):

• Use this section to add and edit Schedules (COMING SOON)

Manage Appointments:

• Use this section to correspond the appointment status codes in the EMR with out-of-the-box internal status codes in Phelix (Notified, Confirmed, Cancelled, Checked-In)
• Turn ON 'Virtual waiting room' for patients to receive contextual virtual waiting room SMSs (UNDER DEVELOPMENT)
• Turn ON 'Wayfinding message' for patients to receive contextual wayfinding SMSs when appointment status code is changed to the corresponding Rooms that were set up in the 'Manage Rooms / Patient Wayfinding' section

Inbox Assistant

SrFax Integration:

• Click 'Add Integration' for SRFax

• Look into your SRFax account to get and enter: 
  1. Account Number
  2. Password
  3. Fax Number
  4. SRFax Email ID
  5. SRFax Date Format
• Click 'Save Settings'
